Privacy Policy
Last updated — 3 August 2026XPhotos ("we", "us") is a photography and video production studio based in Vancouver, British Columbia. This policy explains what personal information we collect through this website, why we collect it, and the choices you have. We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
We only collect information you choose to give us. When you submit the booking form on this site, we collect:
- Your name and the brokerage or company you represent
- Your email address
- The property address and property type for the shoot
- Your preferred shoot date and selected package
- Any notes you add about staging, access or tenants
We do not ask for, and you should not send us, payment card numbers, government identification, or any other sensitive personal information through this form.
How we use it
We use the information you submit solely to respond to your enquiry and deliver the work you engage us for. Specifically, to:
- Reply to your booking request and confirm availability
- Prepare a call sheet, shot list and golden-hour schedule for the property
- Issue quotes and invoices, and keep records required for tax and accounting
- Coordinate site access with you, your client, or any tenant or stager involved
We do not use your information to send marketing email unless you separately ask us to, and we do not sell, rent or trade personal information to anyone.
Photographs of property and people
Our work necessarily involves photographing private property. We treat unpublished imagery of a property as confidential to you and the property owner until the listing goes live. Where a shoot may capture identifiable people — occupants, tenants, staff or talent — it is the client's responsibility to arrange consent before we arrive, and we will not photograph anyone who objects.
We may include delivered imagery in our own portfolio, on this website and on social media, unless you tell us in writing that a property is to be excluded. Please raise this before the shoot so we can note it on the call sheet.
Drone operations
Aerial work is flown under Transport Canada RPAS certification. Flights are planned to capture the subject property and are not used to surveil neighbouring homes. Incidental footage of adjacent properties is removed in the edit and is not delivered or published.
Service providers
We rely on third-party services to run the studio — for example email hosting, cloud file delivery, accounting software and website hosting. These providers process information only as needed to provide their service to us. Some may store data outside Canada, in which case it may be accessible to the courts and law enforcement of that country under that country's laws.
Retention
We keep booking enquiries and project correspondence for as long as needed to service the engagement and to meet legal, tax and accounting obligations — generally seven years for records tied to an invoice. Enquiries that do not turn into a booking are deleted within twelve months. Delivered image and video files are archived so we can re-supply them to you on request; tell us if you would prefer we delete a property's files after delivery.
Security
We use reputable hosting and cloud providers, restrict access to client files to the people working on the engagement, and protect accounts with strong authentication. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cookies and analytics
This website does not set advertising or tracking cookies and does not run an analytics script. Fonts and placeholder imagery are loaded from third-party content networks (Google Fonts and Pexels), which will see your IP address as a normal part of serving those files.
Your rights
Under PIPA and PIPEDA you may ask us for access to the personal information we hold about you, ask us to correct anything inaccurate, or withdraw consent to our use of it — subject to legal and contractual limits, such as records we must retain for tax purposes. Email studio@xphotos.ca and we will respond within 30 days.
If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia, or the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The revised version takes effect when posted here, and the "last updated" date above will change.
